Nashville Corporate Event AV Planning Guide

Expert Tips from 30+ Years of Nashville Event Production

Planning a corporate event in Nashville? Whether it’s a 50-person executive retreat, a 500-person conference, or a 5,000-person national convention, getting the AV right makes or breaks the experience. After producing over 25,000 events in Nashville and Middle Tennessee, here’s what we’ve learned.

Start with the Venue

Your venue determines almost everything about your AV setup. Before you finalize a Nashville venue for your corporate event, ask these questions:

  • Does the venue have in-house AV and is it required? (Hotel AV is often expensive — ask if you can bring your own)
  • What are the ceiling heights? (Important for projection throw distances and truss rigging)
  • What power is available? (Amps, panel locations, and distance from stage)
  • Are there loading dock restrictions for large equipment?
  • What’s the room acoustics situation? (Hard floors and ceilings can wreak havoc on speech clarity)

Build Your AV Checklist by Event Type

General Session / Main Stage

  • Main PA system sized for the room
  • Stage monitors or in-ear systems for presenters/performers
  • Wireless handheld and lavalier microphones
  • Confidence monitors for speakers
  • Projection system or LED wall (sized for the room — at least 1 foot of screen width per 8 feet of depth)
  • Presentation switcher and remote clicker
  • Stage lighting with key lighting for video/photography
  • Tech table setup with comms

Breakout Rooms

  • Projector and screen or flat-panel display
  • Wired or wireless microphone (for larger breakouts)
  • Presentation remote and HDMI connectivity
  • Small speaker system if the room has poor acoustics

Evening Gala or Awards Dinner

  • Dinner music PA system
  • Podium microphone and wireless mics for awards
  • Uplighting and ambient lighting for atmosphere
  • Gobo projection or monogram for branding
  • Stage lighting for awards presentation
  • Screen and projector or LED wall for slideshows/video

The Most Common AV Mistakes at Nashville Corporate Events

  • Booking AV too late. Nashville’s peak season is spring and fall. Good AV companies book up 4–8 weeks out.
  • Assuming hotel AV is the only option. You can often bring in an outside company at significant savings.
  • Underestimating screen size. A screen that looks big in an empty room disappears when the room fills with people. Bigger is almost always better.
  • Skipping the site visit. Always do a venue walk-through with your AV company before the event.
  • Not planning for hybrid attendees. If anyone is joining virtually, you need a dedicated camera, audio feed, and streaming tech operator.
  • No rehearsal. A 30-minute tech rehearsal the morning of your event catches 90% of problems before they matter.
