How a Corporate Event Comes Together
- Agenda and room advance. Send the agenda, the headcount and the venue. We walk the room or pull its specs — power, rigging points, ceiling height, house sound — before we spec anything.
- Stage plot and itemized quote. You get a drawing of the stage and screens and a quote with every line priced against the ranges above. Nothing is bundled where you cannot see it.
- Load-in and test. The crew builds the day before or the morning of, and every microphone, source and cue is tested against the actual run-of-show, not a generic checklist.
- Show crew. Operators at audio, video and lighting, a technical director, and a show caller for programs with a run-of-show. The person who specced the room is in it.
- Strike and invoice. We are out before the venue needs the room back, and the invoice matches the quote unless you changed something — and then you approved that change in writing first.

What AV does a 50-person meeting actually need?
Usually less than the venue will sell you. A two-speaker sound system with a wireless mic ($300–$700), a meeting-room projector and screen ($400–$900) or a large flat-screen TV, a presentation clicker, and a technician who sets it, tests it and stays if the program needs it. Add a confidence monitor when there is a keynote.
Can we bring you into a hotel that has in-house AV?
Almost always, yes. Most Nashville hotel contracts allow an outside AV company, and planners commonly save a meaningful amount doing it. We coordinate directly with the hotel's operations team on load-in, power and rigging so the day runs smoothly. We are independent — not the in-house or preferred vendor at any venue — which is exactly why we can be honest about what your room actually needs.
Do you handle hybrid and live streaming?
Yes, as a scoped part of the production rather than an add-on. That means camera switching, encoders, confidence monitors, a dedicated operator, and either the venue's internet properly provisioned or our own connectivity. A laptop on a chair at the back of the room is not hybrid, and remote attendees can tell within thirty seconds.
How far in advance should we book a general session?
Four to eight weeks gives us time to do the venue advance properly, draw the stage plot, and hold the right inventory — especially for LED walls in peak conference season. Single-day meetings and smaller events can often be turned much faster. If your date is close, call and we will tell you honestly whether we can do it right.
Do you provide crew, or just the equipment?
Both, depending on what you need. Full production comes with a technical director, operators at each position, and a show caller running the program. Straightforward rentals can be delivered and set by our crew, and smaller items are available for will-call pickup. Most corporate events want the crew, because the value is somebody in the room who fixes the problem before you notice it.
Do you travel outside Nashville for corporate events?
Yes. We deliver across Middle Tennessee and travel for larger productions to Huntsville, Chattanooga, Knoxville, Memphis, Birmingham and Bowling Green — and we have taken full productions as far as the Omni in San Antonio. Travel is itemized on the same quote as the gear and labor, never discovered later.
Can you record the sessions?
Yes. Audio recording of the program is a standard add, and with a camera package we can record the general session as a clean feed for the company's own use afterward. Tell us at the quote stage so the signal flow is built for it rather than patched in on the day.
